Billing Specialist

John Roberts is looking for a Billing Specialist to join our Accounting team--someone with a passion for working with numbers and high attention to detail while managing multiple tasks. Responsible for customer billing which may include freight, postage, and sales tax. Works to ensure that sales are invoiced in a timely manner and that all invoicing is accurate. This role will be working under the direction of our Credit Manager.

Duties include:

• Prepare pre-invoicing and invoices for production jobs, finished goods, storage, fulfillment, postage and more by working with salespeople, account coordinators, and sometimes customers directly.
• Verify completeness of documentation related to jobs prior to finalizing invoicing; ensure that all billable charges are invoiced.
• Utilize system functionality to resolve billing issues or make retroactive adjustments.
• Ensure that invoices meet customer requirements for presentation, timeliness, and delivery method.
• Reporting and invoicing related to finished goods and fulfillment services offered to customers.
• Assistance and backup to others in Accounting, including covering for the receptionist as needed.

Skills required:

• At least two years of experience in working with any accounting software (John Roberts uses EFI Monarch).
• Associates or higher degree in accounting or a closely related field; significant, relevant experience may be an acceptable alternative.
• Strong Excel skills and excellent math ability.
• Knowledge and understanding of multi-state sales tax and sales tax exemption management a plus.
• Ability to understand the big picture, think logically, and make decisions.
• Excellent verbal and written communication skills required.
• Excellent customer service skills.
• Positive attitude coupled with a great work ethic is a must. Understanding of critical timeframes and peak workloads and willingness to make attendance a priority at those times.
